Intake Coordinator
About the Job:
The Intake Coordinator plays a key role in the adoption process by serving as the first point of contact for individuals and families seeking information about Gladney’s adoption programs. The Intake Coordinator is responsible for recruiting, assessing eligibility, and processing intake applications for hopeful families interested in adopting domestically, internationally, and children in the Texas foster care system. This position will orient prospective families with the adoption process, different programs available to them and assist them with completing pre-application requirements. This position is full-time and on site in Fort Worth, TX.
Key Responsibilities:
- Act as the primary point of contact for all inquiries related to adoption and initial applications.
- Offer information, resources, and assistance to prospective adoptive families during the intake phase, ensuring timely follow-up.
- Review and assess the eligibility of hopeful adoptive parents, discussing available program options and determining the best fit for each family.
- Clearly communicate the initial steps, timelines, and expectations for adoption, ensuring transparency throughout the process.
- Maintain in-depth knowledge of all programs, including parental requirements, eligibility criteria, and associated costs, staying up-to-date with any changes.
- Regularly communicate with program leaders to share feedback on the needs and impressions of prospective families.
- Guide prospective adoptive parents through the adoption process, providing expert orientation and support.
- Facilitate adoption orientation events and webinars, engaging with a large number of attendees.
- Participate in recruitment events as needed to support outreach efforts.
- Collaborate with program leaders to ensure that intake goals are being met for various adoption programs.
- Work creatively with team members to develop strategies that enhance recruitment and engagement efforts.
- Perform other duties as assigned to support the organization’s operational needs and contribute to the team’s overall success.
Minimum Qualifications/Requirements:
- High school diploma or equivalent.
- Valid Driver’s License in the State of Texas.
- A minimum of two years of experience in administrative, customer service, client intake, or related roles, with an emphasis on offering support and guidance to individuals.
- Excellent communication skills, both written and verbal.
- Comfortable and engaging public speaker, able to present adoption information clearly to potential adoptive parents.
- Strong project management abilities, capable of managing multiple inquiries, tracking information, and ensuring timely follow-up and documentation.
- Self-starter with the confidence to work independently, demonstrating sound judgment and requiring minimal supervision.
- Adaptable problem solver, able to respond to changing needs and circumstances.
- Proven ability to collaborate effectively, offering support and fostering positive relationships within a team.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Microsoft Teams.
- Keen attention to detail with the ability to analyze and interpret complex information.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong organizational skills with the ability to manage competing priorities.
Preferred Qualifications:
- Bachelor’s degree or equivalent education/experience.
- Previous experience in adoption-related work.
- Experience in client assessments and providing adoption counseling.
- Bilingual in Spanish is a plus.
